Terms of Service

Please read these terms carefully before renting equipment from Venegeest Rentals. By placing a rental order, you agree to be bound by these terms and conditions.

Rental Agreement

By submitting a rental request or signing a rental confirmation, you ("the Client") enter into a binding rental agreement with Venegeest Rentals ("the Company"). This agreement governs the rental of audiovisual, lighting, stage, and related production equipment for the duration specified in your booking.

All equipment remains the property of Venegeest Rentals throughout the rental period. The Client is granted temporary use of the equipment solely for the event or purpose described in the rental order.

Booking & Confirmation

Rental bookings are confirmed only after the Client receives a written confirmation (via email or signed quote) from Venegeest Rentals. Submitting a quote request does not guarantee equipment availability.

  • A non-refundable deposit of 25% of the total rental cost is required to secure your booking
  • The remaining balance is due no later than 3 business days before the event date
  • Equipment availability is subject to existing reservations and is confirmed on a first-come, first-served basis
  • Any changes to the rental order must be communicated at least 5 business days before the event

Pricing & Payment

Equipment rental rates are published on our website and may be updated at any time. The rate confirmed in your rental agreement will be honored for that booking.

  • Daily rates — cover a 24-hour rental period starting from the time of delivery or pickup
  • Weekly rates — apply to rentals of 5 or more consecutive days and offer a discounted rate
  • Custom packages — multi-item packages are quoted on a per-project basis
  • Additional charges — delivery, setup, technician services, and overtime are billed separately as outlined in the quote

We accept payment via credit card, bank transfer, and company check. Late payments may incur a fee of 1.5% per month on the outstanding balance.

Equipment Care & Responsibility

The Client is responsible for the rented equipment from the time of delivery (or pickup) until its return to Venegeest Rentals. This includes:

  • Using the equipment only for its intended purpose and in accordance with provided operating instructions
  • Keeping equipment in a secure, dry, and temperature-appropriate environment
  • Preventing unauthorized use, modification, or tampering with the equipment
  • Reporting any malfunctions or damage immediately to our support team
  • Returning all equipment, cables, accessories, and cases in the same condition as received

Equipment that is returned damaged, defective, or incomplete will be assessed, and the Client will be charged for repair or replacement costs at current market value.

Cancellation Policy

We understand that plans change. The following cancellation terms apply to all confirmed bookings:

Cancellations due to severe weather or force majeure events will be evaluated on a case-by-case basis. We will always work with you to reschedule whenever possible.

Delivery & Setup

Venegeest Rentals offers delivery, setup, and teardown services for an additional fee. When these services are included in your rental:

  • The Client must provide accurate venue details, including load-in access, power supply, and timing windows
  • Our team requires a minimum of 2 hours for standard setups; large-scale productions may require additional time
  • The Client is responsible for securing any venue-specific permits or approvals required for equipment installation
  • Delays caused by venue restrictions, third-party vendors, or incomplete information may result in additional labor charges

For self-pickup rentals, equipment must be collected and returned to our warehouse during business hours. A valid ID and signed rental agreement are required at pickup.

Liability & Insurance

Venegeest Rentals provides equipment in good working condition and performs pre-rental inspections on all items. However:

  • The Company is not liable for indirect, incidental, or consequential damages arising from equipment failure, including event cancellation costs or lost revenue
  • In the event of an equipment malfunction during your rental, we will make every reasonable effort to provide a replacement
  • The Client is strongly encouraged to maintain event insurance that covers rented equipment against theft, damage, and loss
  • The Company's total liability shall not exceed the rental fees paid for the specific equipment in question

An optional Equipment Protection Plan is available at 10% of the rental total, which covers accidental damage (excluding negligence and theft).

Late Returns

Equipment must be returned by the agreed-upon date and time specified in your rental confirmation. Late returns are subject to the following:

  • A late fee equal to the daily rental rate will be charged for each day overdue
  • If equipment is not returned within 7 days past the due date without prior arrangement, it will be considered lost and the full replacement cost will be charged
  • Extensions may be arranged in advance, subject to availability and additional rental charges

Intellectual Property

All content on the Venegeest Rentals website — including text, images, logos, and design elements — is the property of Venegeest Rentals and is protected by applicable intellectual property laws. You may not reproduce, distribute, or use any content without prior written consent.

Changes to These Terms

Venegeest Rentals reserves the right to update or modify these Terms of Service at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services after changes are posted constitutes acceptance of the revised terms.
